Graduate chairs and directors have full appointing authority for graduate faculty. Graduate faculty membership information is updated throughout the year on the Human Resources Information System (HRIS) and is used for multiple purposes. Once a year, faculty data is downloaded for placement in the calendar.
Process for Recording Memberships on HRIS
While the University-level appointment (paid or status-only appointment) is recorded by the appointing unit or Faculty, the graduate faculty membership is processed by SGS. This frees the graduate units to focus on the accuracy and integrity of the data itself.
Throughout the year, if a graduate faculty member’s information requires updating, the chair/director’s office should complete a checklist form (pdf) for each appointment. For your convenience, the form is now a fillable pdf. For more details, see procedures.
Faculty Reports Available Online
While checklists should be submitted to SGS throughout the year as appointments are made, once a year, in synchrony with the faculty data download for the SGS calendar, units are asked to review their faculty complement. For your convenience, the reports are accessible online as a pdf file. Graduate faculty must hold memberships until at least June 30, 2013 to appear in the 2012/2013 calendar. One of the columns in the Faculty A-Z Report lists University Appointing Org Codes. To help you navigate the abbreviations, download the Univ Appt Org Code legend (pdf).
To quickly locate your graduate unit’s listing, use the bookmark feature in the left margin of the Faculty A-Z Report. (The bookmark icon looks like a ribbon lying on a page.)
You have the option to view, print, save, or share the reports with others engaged in the faculty review process. There is no need to update nor return the report to SGS. Simply submit completed checklist forms by Feb 21, and SGS will update the HRIS record.
Please note, the lists include only graduate faculty with memberships that will be active in the 2012/2013 academic year (July 1, 2012 through June 30, 2013) and whose records are complete in the HRIS. If you believe that the faculty member’s information has already been submitted, please have your business or HR officer check for the following:
- The faculty member’s education information (degrees awarded) have been recorded.
- The University-level appointment is active (e.g., end dates applied for tenure reviews are appropriate, status-only appointments are properly ended, retired faculty continuing with an emeritus appointment have been reappointed appropriately, and the correct status reported).
Thank you for submitting revisions to the graduate faculty memberships. The deadline for submission of membership checklists is closed for 2012/2013.
Submit Checklists by Feb 21
Review the report and if there are changes to faculty data, complete a checklist form for each member. Please note that manual updates to faculty listings in the calendar will not be accepted. All requests for faculty updates must be submitted by way of a checklist to the Office of the SGS Vice-Dean, Programs. If you wish a faculty member's name to appear in the 2012/2013 SGS Calendar, please submit all relevant checklists by Feb 21.

Thereafter, SGS will download graduate faculty data for placement in your calendar section. No manual revisions will be made to calendar content.
At any time during the year, units may check their faculty listing by generating a report on demand. To capture all appointments that will appear in the upcoming SGS calendar, be sure to run the report effective June 30, 2013. Instructions to generate faculty report.
