Production Process for the 2012/2013 SGS Calendar

This webspace will be updated periodically with instructions and content. All the material you require for calendar review will be posted online for easy access, sharing, and updating.

  1. Calendar entries are available online for every graduate unit. Graduate units have been categorized by Faculty, each with its own set of deadlines. Your graduate unit's 2011/2012 SGS Calendar entry is posted online in Word format, which allows for easy access and consultation within your graduate unit.
  2. For scheduling of governance approval purposes, graduate units have been categorized by Faculty. Deadlines have been scheduled with Faculty governance meeting dates in mind. Note the deadlines that apply to your Faculty.

Calendar Content Categories

  1. Governance-approved revisions (require governance approval)
  2. Graduate faculty memberships (require approval via SGS membership process)
  3. Editorial revisions (no governance approval required)

Review your calendar entry for accuracy. Make revisions using the Track Changes feature in Microsoft Word (it has already been turned on). If you are unfamiliar with this feature, please read Microsoft's online Track Changes tutorial.

Submitting Calendar Revisions

  1. Send revisions requiring governance approval to your Faculty Graduate Office (FGO). Include the appropriate governance documentation (including a tracked calendar entry, as required). Once approved, these revisions (including the tracked calendar entries) will make their way to the calendar production team at SGS by way of the governance tracking system.
  2. Send editorial revisions (no governance approval required) on a tracked calendar entry directly to karen.shim@sgs.utoronto.ca.
  3. When reviewing your calendar content, SGS gives attention to tracked changes only. Therefore, only revisions identified using Track Changes will be picked up for the 2012/2013 SGS Calendar.

There is no need to return an entry if there are no revisions (either governance or editorial). However, if no revisions are submitted, SGS will assume your graduate unit has NO updates for the 2012/2013 SGS Calendar.
