Proofread Your Calendar Section


Thank you for your attention to calendar updates. Editorial revisions and governance proposals receiving final approval have been incorporated in the 2012/2013 SGS Calendar. Your entry is now ready for publication.

However, before proceeding to press, we invite each graduate unit to conduct a quick proofreading to ensure that we have captured your approved submissions. At this stage, we are looking for corrections to content that was submitted by the deadlines. Please e-mail the corrections by 5 pm on Wed, May 2.

At this late stage of calendar production, no new revisions will be considered.

Instructions

Step 1: Reviewing Proofs

Check your calendar entry (it's in PDF format) against:

  1. governance-approved revisions submitted to your Faculty graduate office and approved by the deadlines established (see GCT to refresh your memory and confirm approval status of items).
  2. editorial revisions submitted to the SGS Communications Office by the deadlines established


Step 2: Review Faculty Listings

All Graduate Units

Flag Graduate Coordinator appointments. If your unit has a new Graduate Coordinator, please mark it on the proof. The Dean of Graduate Studies relays details of Chair and Director appointments to the calendar office, so you do not need to send this info. Chair and Director appointments must be consistent with the Policy on Appointment of Academic Administrators, and approved by the Provost and the Academic Board.

For Departments

Faculty holding graduate faculty membership until June 30, 2013 (and whose faculty membership checklists were submitted by February 21, 2012) are listed in your entry.

Data is downloaded from HRIS. If HRIS data is not correct, please follow the procedures for faculty memberships. New or revised memberships will not be processed in time for inclusion in the 2012/2013 SGS Calendar, but will be recorded on HRIS and available for future downloads.

For Collaborative Programs and Joint Programs

Review Program Committee representation and update proof. Faculty should hold graduate faculty membership; check the PDF of the home graduate unit faculty listing to confirm. Provide details including name, degrees, and graduate unit representation.

OISE is being reorganized. If your unit collaborates with one of the newly named OISE departments, please revise the name of the OISE department with which your program commitee member is affiliated. If you have any questions, please contact susan.hall@utoronto.ca.

Step 3: Submitting Corrections

During proofreading, SGS only considers corrections to content that was submitted by the deadlines. Mark corrections on the proof clearly (e.g., using editing tools in Acrobat Professional, or Track Changes in Microsoft Word, or marking by hand and scanning).

E-mail the corrected proof to karen.shim@sgs.utoronto.ca.

If there are no corrections, there is no need to contact Karen; however, if SGS does not hear from you by 5 pm on Wed, May 2, we will accept your proof as ready for publication. Thanks again for your attention to the calendar.
