Graduation

Graduation is the culmination and affirmation of all your hard work in graduate studies. To ensure the final stages proceed as smoothly as possible, please keep the following in mind:


Deadlines

November Graduation

To graduate in November all degree requirements must be met by October 5, 2012.

Masters students - Your degree recommendation must be submitted by your graduate unit to the School of Graduate Studies by October 5, 2012.  Students in a thesis program must submit the final thesis to T-Space, and pay the processing fee and submit the Library and Archives Canada form at SGS by this deadline.

Doctoral students - After the successful completion of your final oral examination, the processing fee, Library and Archives Canada form, and copyright permissions (where necessary) must be submitted to SGS and your thesis must be submitted to T-Space by October 5, 2012.

March (in absentia) Graduation

Students who complete all degree requirements by January 27, 2012 may graduate either in March in absentia or June.

Masters students - Your degree recommendation must be submitted by your graduate unit to the School of Graduate Studies by January 27, 2012.  Students in a thesis program must submit the final thesis to T-Space, and pay the processing fee and submit the Library and Archives Canada form at SGS by this deadline.

Doctoral students - After the successful completion of your final oral examination, the processing fee, Library and Archives Canada form, and copyright permissions (where necessary) must be submitted to SGS and your thesis must be submitted to T-Space by January 27, 2012.

June Graduation

To graduate in June all degree requirements must be met by April 20, 2012.

Masters students - Your degree recommendation must be submitted by your graduate unit to the School of Graduate Studies by April 20, 2012.  Students in a thesis program must submit the final thesis to T-Space, and pay the processing fee and submit the Library and Archives Canada form at SGS by this deadline.
 
Doctoral students - After the successful completion of your final oral examination, the processing fee, Library and Archives Canada form, and copyright permissions (where necessary) must be submitted to SGS and your thesis must be submitted to T-Space by April 20, 2012.

Convocation

Students must graduate at the ceremony immediately following completion of their degree requirements. Delay of graduation is not permitted. You must graduate once all degree requirements have been completed.

Information on time, location, and tickets for convocation ceremonies are normally e-mailed to the student's UTOR e-mail account approximately three weeks prior to convocation. Please ensure your address is correct on SWS. You are encouraged to check this website regularly as information concerning dates and deadlines may change. Further details can be obtained at the Office of Convocation.


Name Changes

Your name as it appears in the SWS is the name that will appear on your diploma. Your name on the title page and abstract of your thesis must also be exactly the same as the name that appears in the SWS. For changes to your name please go to Registrarial Services for Students for additional information on the forms and documentation required to support the desired change.

If your name requires accents, please download and complete the appropriate convocation Name on Diploma form by the appropriate deadline set by the Office of Convocation. Please note that this form is only for accents.

If the necessary change(s) are not made by the deadline for name changes set by the Office of Convocation, there is an $80.00 fee to have a new diploma printed. Please note the deadlines are quite early; typically mid-September for November Convocation and early February for March (in absentia) and June Convocation.

Final Year Registration and Fees

Masters students - Your Fall 2012 session registration and fees are cancelled if your degree recommendation and final Master's thesis (if required) are submitted to SGS by October 5, 2012. If you are not recommended by October 5, 2012 you will be required to register and pay fees for the Fall Session. You do not register or pay fees for the Winter 2013 session if your degree recommendation and final Master's thesis (if required) are submitted to SGS by January 25, 2013. If you are not recommended by January 25, 2013 you will be required to pay fees for the Winter session.

Doctoral students - The final date to submit doctoral theses without payment for the Fall 2012 session is September 17, 2012 and January 15, 2013 to avoid fee charges for the Winter 2013 session.

Confirmation of Degree Letters

SGS prepares letters for both Master’s and Doctoral students requesting confirmation that all degree requirements have been met.

Note: the Doctoral Examinations Office will produce one letter free of charge; additional letters are $7.00 per letter. To request the one free letter please email doctoral@sgs.utoronto.ca. All other letters need to be requested via Student Services and the Confirmation of Degree Form.

Outstanding Fees

Students who have outstanding fees will be permitted to attend convocation and receive their diploma; however, a financial hold will be placed on the student’s financial account and transcripts and confirmation of degree letters will not be released until fees have been paid.

Fees for doctoral students in their final year are based on the date the final thesis is submitted to SGS. Fees are adjusted by the end of the month. Refer to the SGS Fees Section for complete details.
